Each area is guided and supported by a Volunteer Coordinator who ensures communication, motivation, and task management are effective throughout the festival. This collaborative structure aims to promote inclusivity, creativity, and a shared passion for environmental awareness.

    The Festival Board serves as the governing body of EcoFrames, providing strategic guidance, oversight, and support to ensure the festival achieves its mission. Comprised of experienced professionals and passionate advocates for environmental awareness through art, the board oversees planning, financial management, and community engagement. They ensure that EcoFrames continues to grow sustainably and remain aligned with its core values.

    The Festival Director leads the overall execution of EcoFrames, ensuring its artistic and operational success. As the primary point of contact for all teams, the Director coordinates programming, logistics, marketing, and community engagement efforts.
  3. Festival consultants
    Festival Consultants provide expert advice and support across various aspects of EcoFrames, including programming, marketing, technical setup, accessibility, and partnerships. Their specialized knowledge helps the festival maintain high standards of quality and inclusivity.
  4. Film selection committee 
    Comprised of environmental advocates, and industry professionals, the committee evaluates pre-selected submissions to ensure alignment with the festival’s themes and artistic standards.

Volunteer Position Descriptions

Below are the descriptions for each volunteer role, providing an overview, key responsibilities, desired skills, and whether the role is remote, in-person, or hybrid. Each description highlights how volunteers can grow personally and professionally while contributing to EcoFrames’ mission.

1. Volunteer Coordinator (Team Leader)

Overview: Lead and support our volunteer team. As Volunteer Coordinator, you’ll be the point person ensuring all volunteers are organized, motivated, and informed. This is a people-focused role perfect for someone who loves teamwork and wants to help others succeed. You’ll gain leadership experience while fostering an inclusive, positive volunteer culture.

Key Responsibilities:

  • Serve as the liaison between festival organizers and volunteers, communicating schedules, tasks, and festival updates.
  • Organize volunteer orientations/training and coordinate assignments for different teams (logistics, hospitality, etc.).
  • Check in with volunteers during events to ensure everyone has what they need and things run smoothly.
  • Troubleshoot issues, answer questions, and keep everyone feeling valued and included.

Desired Qualifications/Skills:

  • Strong communication and organization skills. Prior experience leading a team or volunteering is a plus.
  • Friendly, encouraging attitude – you enjoy helping others and solving problems calmly.
  • Passion for EcoFrames’ mission (sustainability and film) and ability to inspire that passion in fellow volunteers.

Location: Hybrid. Much of the coordination (emails, planning) can be done remotely. During the festival events, you should be in-person to manage on-site volunteers. (If you’re based away from the event locations, you could coordinate remotely up until the festival, then join on-site for the event period.)

2. Films Evaluation & Pre-Selection (Programming Team)

Overview: Help curate the festival lineup. In this role, you’ll watch and evaluate film submissions to decide what stories will shine at EcoFrames. It’s an ideal position for film enthusiasts who want to learn about programming a festival. Students of film/media or anyone passionate about storytelling and the environment will find this exciting – you get a sneak peek at films from around the world and help shape our program!

Key Responsibilities:

  • Screen submitted films (shorts and features) and review them against festival criteria (relevance to environmental themes, storytelling quality, etc.).
  • Score or provide feedback on each film – noting strengths, message, and how it might engage audiences.
  • Participate in selection committee meetings (virtually) to discuss which films should be shortlisted for the festival.
  • Ensure each film’s content is aligned with EcoFrames’ values (e.g. respectful, inclusive, and on-topic).

Desired Qualifications/Skills:

  • Love for documentaries and environmental topics – you’re excited to watch hours of content about nature, climate, sustainability.
  • Good critical eye for storytelling and an open mind to different perspectives.
  • Reliability and confidentiality – you might view unreleased films, so you must handle screeners responsibly.
  • Ability to meet deadlines (to complete a set of film reviews in a given timeframe).

Location: Remote. All film viewing and evaluation can be done from home (we’ll provide online access to submissions). Discussions with the programming team happen via video calls, so you can join from anywhere.

3. Event Setup & Logistics (Operations Team)

Overview:
Make our events happen on the ground. If you enjoy hands-on work and want to see how a film festival comes to life, this role is for you. As part of the Logistics team, you’ll help set up venues, equipment, and ensure each screening or workshop space is ready to go. This is great for anyone who likes to be active, solve practical problems, and contribute behind the scenes. You’ll learn about sustainable event practices and feel the accomplishment of creating a welcoming space for attendees.

Key Responsibilities:

  • Set up and break down event spaces: arrange seating, tents, projectors, screens, and solar equipment (since EcoFrames often uses the Solar Cinema van).
  • Handle logistics of equipment transport and placement – possibly helping position the solar cinema van or running cables (with guidance from tech staff).
  • Ensure venues are environmentally friendly: set up recycling bins, info tables, and decorations aligned with our sustainability theme.
  • Coordinate any needed facilities tasks during events (e.g., managing crowd flow, putting up signage, assisting with power or lighting issues).
  • Work closely with Technical Support volunteers to test that audio/visual setup is working before events start.

Desired Qualifications/Skills:

  • Physically active and able to lift/move equipment or furniture (within safe limits).
  • Problem-solving mindset – things change quickly during events, so you can adapt (e.g., creating a rain plan for an outdoor screening).
  • Teamwork and reliability – you’ll often work in a crew and need to be on time for setup schedules.
  • Experience with event setup, stage crew, or assembling gear is a bonus but not required.

Location: In-Person. This role is on-site at event locations (outdoor screening venues, community centers, etc.). Work happens during the festival events and possibly a day before for setup. Local volunteers needed; if you’re nearby and have transport to venues, that’s ideal.

4. Technical Support (Audio/Visual) (Operations Team)

Overview:
Run the show behind the scenes. As a Technical Support volunteer, you’ll handle the A/V setup that makes our film screenings and presentations possible. This is perfect for those who are tech-savvy or eager to learn about projectors, sound systems, and maybe even solar-powered cinema tech. You’ll ensure that each film looks and sounds great – an invaluable role since the audience experience depends on smooth tech. It’s a hands-on role where you can build skills in event tech and be at the heart of the action during screenings.

Key Responsibilities:

  • Set up and operate A/V equipment for screenings and talks: projectors, sound systems, microphones, and laptops. Ensure the screen, audio, and any lighting are properly configured before events start.
  • Conduct sound checks and video tests with sample footage to confirm everything is working (in coordination with filmmakers or presenters when needed).
  • Troubleshoot technical issues on the fly – e.g., if a projector bulb goes out or audio gets fuzzy, be ready to assist (with backup equipment or adjustments).
  • Work closely with the Solar Cinema team (if using the solar-powered van) to integrate their equipment (like plugging into their system, aligning projection in outdoor settings).
  • During film screenings, monitor the playback and be on standby in case any technical adjustments are needed (volume changes, pausing for discussions, etc.).
  • After events, help pack down equipment safely and store it properly.

Desired Qualifications/Skills:

  • Basic familiarity with audio/visual equipment – perhaps you’ve handled a projector or PA system before. If not, a willingness to learn and follow technical instructions is essential.
  • Calm under pressure: tech glitches can happen at the worst times – you can keep cool and systematically solve the problem or call for help if needed.
  • Detail-oriented: you notice if a cable isn’t plugged in fully, or if the image is out of focus, and you fix it.
  • Comfort with physical setup – some lifting, cabling, climbing a small ladder to mount a projector, etc., might be involved.
  • A collaborative attitude – you’ll coordinate with logistics, venue staff, and sometimes filmmakers. Teamwork is key to get everything synced.

Location: In-Person. You’ll need to be at the venues during each event to set up and run the equipment. (If an event is streamed online, tech support might assist remotely, but for the festival’s in-person screenings this role is on-site.)

5. Audience Engagement & Hospitality (Audience Team)

Overview:
Be the welcoming face of EcoFrames! Audience Engagement volunteers are our hospitality heroes, making sure attendees feel included, informed, and excited. If you’re a people-person who loves chatting about films or environmental issues, you’ll shine in this role. It’s a fantastic opportunity for personal interaction – you’ll meet diverse visitors, from students to filmmakers. Your warmth and enthusiasm will help create a friendly festival atmosphere where everyone feels part of the community.

Key Responsibilities:

  • Greet and guide attendees at events: welcome them, check registrations (if any), and direct them to seating or activities.
  • Staff the information desk or welcome table – answer questions about the schedule, film showtimes, locations of facilities, etc.
  • Engage the audience during breaks or downtime: spark conversations about the films or sustainability topics, encourage them to visit information booths or participate in discussions.
  • Help manage audience flow: ensure lines move smoothly, assist with any accessibility needs (working with the Accessibility Support volunteers), and maintain a positive vibe.
  • Distribute and collect audience feedback forms or conduct quick surveys (if the festival is gathering feedback).
  • Possibly assist with guest hospitality: e.g., helping a visiting filmmaker or speaker feel welcome, ensuring they have what they need.

Desired Qualifications/Skills:

  • Friendly, outgoing personality – you enjoy talking to new people and can stay upbeat even during busy moments.
  • Good communication skills in Greek and English (many films or guests may be international, so being bilingual is a big plus for welcoming everyone).
  • A helpful attitude and awareness – you notice if someone looks lost or needs assistance and you’re proactive in offering help.
  • Interest in the festival’s themes so you can chat knowledgeably – you don’t need to be an expert, just genuinely curious and passionate about sustainability and films.
  • Patience and problem-solving for dealing with any guest issues (like resolving seating mix-ups politely).

Location: In-Person. This role is entirely on-site during festival events, at screening venues and workshops. You’ll be interacting face-to-face with attendees. (Ideal for local volunteers or those who can travel to the events.)

6. Accessibility Support (Inclusion & Access Team)

Overview:
Help make EcoFrames accessible to all. Accessibility Support volunteers ensure that people with disabilities or special needs can fully enjoy the festival. This role might involve creating captions or audio descriptions for films, assisting hearing-impaired or visually-impaired audience members at events, or generally advising on inclusive practices. It’s a wonderful role for anyone passionate about inclusion or who has skills in translation, captioning, or simply a compassionate desire to assist others. You will play a direct part in upholding EcoFrames’ commitment to accessibility, making sure everyone’s story can be heard and appreciated.

Key Responsibilities:

  • Captioning and Subtitling: Help prepare subtitles for films (especially if translations are needed to Greek, or English subtitles for foreign-language films). This could involve transcribing dialogue or syncing provided subtitles. Also, review closed captions for accuracy.
  • Audio Description: Assist in creating or reviewing audio description scripts for select films (narration of on-screen action for visually impaired viewers). If you have no experience, you might help by proofreading scripts or timing them to the film, under guidance.
  • On-Site Support: Provide assistance to attendees with disabilities during events. This may include guiding visually impaired audience members to seating, assisting a deaf attendee by writing down information or signaling when announcements are made, or reading program materials aloud if necessary.
  • Ensure Venue Accessibility: Work with Logistics to check wheelchair access, seating for people with mobility issues, and arrange reserved spots if needed. Clearly communicate these provisions to attendees.
  • Collaboration: Possibly coordinate with sign language interpreters (if available) or provide bilingual signage. Suggest improvements to enhance accessibility at future events.

Desired Qualifications/Skills:

  • Keen interest in accessibility and inclusivity. Previous experience working with people with disabilities is a plus but not required.
  • Technical skills for captioning software or subtitling are valuable, but willingness to learn is just as important.
  • Language skills: bilingual (English/Greek) capabilities are helpful for subtitle translation or communicating with diverse audiences.
  • Patience, empathy, and attentiveness – being courteous and sensitive to individual needs is essential.

Location: Hybrid. Some tasks like captioning films can be done remotely before the festival (using your computer at home). During the festival events, the role becomes in-person to assist attendees on-site and ensure accommodations are in place. We are open to volunteers handling only remote or only in-person tasks if necessary.

7. Promotion & Outreach (Social Media & Community Outreach)

Overview:
Spread the word and inspire the community! In Promotion & Outreach, you’ll be an EcoFrames ambassador – both online and on the ground. This role is about getting people excited to attend the festival and engage with our mission. If you’re creative with social media, enjoy writing catchy posts, or like connecting with local communities, you’ll fit right in. You’ll help ensure EcoFrames is visible everywhere: from Instagram feeds to campus bulletin boards. It’s an excellent role for someone looking to gain experience in communications or marketing while advocating for sustainability and art.

Key Responsibilities:

  • Social Media Management: Create and share content on platforms like Facebook, Instagram, and others to promote upcoming film screenings, workshops, volunteer stories, and sustainability messages.
  • Campaign Development: Help develop marketing ideas to boost festival attendance – such as online contests, countdown posts, or thematic highlights related to environmental issues covered by the films.
  • Audience Engagement: Interact with followers by responding to comments or messages, encouraging shares, and building enthusiasm for the festival.
  • Community Outreach: Assist with distributing flyers and promoting the festival in local venues (e.g., universities, eco-friendly cafes, community centers). Engage with student clubs, NGOs, or other organizations that might be interested in collaborating.
  • Local Promotion: Represent EcoFrames at local gatherings or markets to do grassroots promotion (tabling, giving brief presentations about the festival, etc.).
  • Outreach Coordination: Reach out to community groups or schools to invite them to attend screenings, emphasizing the free and inclusive nature of the festival.

Desired Qualifications/Skills:

  • Social media savvy – you know how to craft engaging posts and use tools like Canva or Photoshop for visuals.
  • Good writing skills with an upbeat, positive tone that reflects EcoFrames’ mission and inclusivity.
  • Outgoing personality – comfortable approaching local businesses or talking to students about the festival.
  • Knowledge of the local area (for physical flyer distribution) and connections in sustainability or film circles are helpful but not required.
  • Creativity and enthusiasm – bring your own ideas for innovative promotion tactics!

Location: Hybrid. Online tasks can be done remotely from anywhere. Physical outreach (flyer distribution, community events) is done in-person around the local community. If you’re not local, you can focus on digital outreach while local volunteers handle in-person efforts.

8. Marketing (Campaigns & Media Relations)

Overview:
Craft the big-picture message of the festival. The Marketing volunteer works on campaign strategy and spreading EcoFrames’ story through media channels. This role is slightly different from general outreach – it’s more about planning and strategy: developing a cohesive marketing campaign, engaging press or partner organizations, and analyzing how we present ourselves. If you have an interest in marketing, PR, or branding (or want to learn), this role provides great experience. You’ll help amplify EcoFrames’ impact by ensuring our message of sustainability through film reaches a wide and diverse audience.

Key Responsibilities:

  • Develop Marketing Campaigns: Plan and execute campaigns for the festival. For example, create themes leading up to the festival (e.g., a “Countdown to EcoFrames” series featuring each environmental theme covered by the films).
  • Media Relations: Draft press releases and reach out to media outlets (local newspapers, environmental blogs, radio, etc.) to cover EcoFrames. Coordinate with festival directors on key points and pitch stories or interviews.
  • Brand Identity Management: Ensure all promotional materials (social media posts, flyers, website updates) have a consistent tone and message aligned with EcoFrames’ mission. Collaborate with the Promotion team and Web Developer as needed.
  • Engage Partner Organizations: Reach out to universities, environmental nonprofits, or sponsors for cross-promotion opportunities. Build relationships to expand EcoFrames’ network and audience.
  • Analytics & Feedback: Track social media engagement, survey responses, or media mentions to gauge the effectiveness of campaigns. Suggest adjustments for improvement.
  • Content Creation: Optionally assist in creating promotional content, such as graphics, banners, info packets, or event program booklets (in collaboration with designers or using templates).

Desired Qualifications/Skills:

  • Background or interest in marketing, PR, or communications. Experience with campaigns is a plus, but enthusiasm and creativity matter most.
  • Strong writing skills for press releases, newsletters, and campaign copy.
  • Strategic thinking – you can plan a campaign and adapt if something isn’t working.
  • Collaborative but self-driven – you can work with other teams or independently when needed.
  • Creativity and storytelling – you can convey EcoFrames’ mission in compelling ways to attract media attention and community interest.

Location: Hybrid. Much of the work (writing, planning, emailing press) can be done remotely. If you’re local, you may attend in-person meetings or help during the festival, such as greeting journalists who attend.

9. Photography & Videography (Media Team)

Overview:
Capture the magic of EcoFrames on camera. As a Photography/Videography volunteer, you’ll document festival events, the lively audiences, and those special candid moments that show our impact. If you’re a photographer or filmmaker (even an amateur one with a good eye), this is a chance to build your portfolio while contributing to the cause. Your photos and videos will help us tell our story later on – in recap videos, social media posts, and next year’s promotions. It’s a creative role with lots of personal reward: you get to be in the middle of inspiring events and preserve them for others to see.

Key Responsibilities:

  • Event Documentation: Photograph festival activities: film screenings (discreetly, without disturbing viewers), audience reactions, Q&A sessions with filmmakers, workshop interactions, and volunteers in action. Capture the emotion and engagement – smiling faces, moments of awe, community interactions.
  • Video Snippets: Shoot short clips as needed: panel discussions, interviews with attendees or guests, sweeping shots of our open-air cinema under the stars, etc. These clips may be edited into promotional videos or highlights reels.
  • Editing: Organize and edit photos/videos after events. This may include basic editing like cropping, adjusting lighting, or trimming video clips for social media. More advanced editing skills are a bonus but not required.
  • Collaboration: Work with the Marketing/Outreach team to promptly share some best shots on social media during the festival (real-time updates to build excitement). For example, you might send a few great photos each night to the social media volunteer for posting.
  • Consent Management: Ensure consent where needed, making sure anyone prominently featured is okay with being photographed or filmed. We can provide guidance on this, especially when working with children or during sensitive moments.
  • Media Archive: Organize and deliver files to the EcoFrames team in an orderly manner for archiving and future use.

Desired Qualifications/Skills:

  • Photography or videography skills. You don’t need to be a pro, but you should know how to use a camera (DSLR or high-quality smartphone) and compose a nice shot.
  • An eye for storytelling through visuals – capturing candid moments and key scenes that convey the festival’s atmosphere.
  • Basic editing ability using tools like Photoshop, Lightroom, Premiere, iMovie, or even mobile editing apps. Quick turnaround is sometimes more important than heavy editing.
  • Passion for capturing authentic moments and documenting creative or inspiring interactions.
  • Ability to move around events and position yourself for good angles, sometimes quickly.

Location: In-Person. You’ll need to attend the festival events in person to capture them. (Local or able to travel to events.) Some pre/post-event work (editing, sharing files) can be done remotely on your own time.

10. Workshop Facilitation (Educational Programs)

Overview:
Lead interactive learning experiences. EcoFrames often includes workshops or discussions on sustainability topics (for example, DIY upcycling projects, environmental education for kids, or film-themed discussions). As a Workshop Facilitation volunteer, you’ll help run these sessions. This is a fun role for someone who enjoys teaching, public speaking, or guiding group activities. You don’t have to be an expert – just willing to share information and engage participants. It’s a great way to develop leadership and communication skills, and you’ll be empowering attendees to take action beyond watching films.

Key Responsibilities:

  • Workshop Planning: Collaborate with the EcoFrames team to plan workshop activities. Content or curriculum will be prepared, but you can contribute ideas. (For example, if it’s a workshop on “zero-waste living,” you might help prepare a simple activity like making reusable bags.)
  • Facilitation: Lead the workshop during the festival: introduce the topic, explain the activity or discussion rules, and guide the group through the session. Keep the energy positive and make sure everyone can participate.
  • Hands-On Guidance: For hands-on activities, demonstrate steps and assist participants. For discussion panels, moderate Q&A, encourage participation, and keep conversations on track.
  • Inclusion Focus: Adapt activities so everyone can engage, regardless of their knowledge level or age group. Collaborate with Accessibility Support if necessary.
  • Logistics Management: Ensure materials and logistics are in place for the workshop (e.g., art supplies, handouts, projectors). Coordinate with Logistics volunteers for setup.
  • Encouraging Action: Summarize key takeaways at the end of the workshop and provide participants with resources or next steps for deeper engagement (like local initiatives or helpful websites).

Desired Qualifications/Skills:

  • Comfort speaking in front of a group and guiding conversations. Experience as a teacher’s assistant, club leader, or presenter is helpful but not required.
  • Knowledge in sustainability topics is great but not mandatory. The main skill is engaging people and creating a welcoming atmosphere.
  • Facilitation skills – active listening, rephrasing points, handling dominant or off-track participants diplomatically.
  • Creativity and adaptability – workshops can be unpredictable. Ability to adjust activities based on audience size, interest level, or timing constraints.
  • Bilingual ability (English/Greek) can be helpful if we have a mix of attendees. At least being able to explain things simply and possibly translate basic terms will help include everyone.

Location: In-Person. Workshops are held at festival event sites (community centers, outdoor venues, etc.). You’ll facilitate on-site. Preparation meetings can be remote via calls. If any workshops are online (in the future, e.g., a webinar), there could be remote facilitation, but currently, it’s primarily an in-person role during the festival.

11. Web Developer (Joomla Website) (IT & Digital Team)

Overview:
Keep EcoFrames’ online presence running smoothly. If you’re a web enthusiast, this role lets you apply your skills to a meaningful cause. EcoFrames’ website (built on Joomla) is key for sharing festival information, schedules, collecting entries, and volunteer sign-ups. As a Web Developer volunteer, you’ll maintain and improve the site. It’s a technical, remote-friendly position – perfect for an IT-savvy student or professional who wants to contribute skills behind the scenes. You’ll gain experience managing a live site and ensure our online visitors have a seamless experience.

Key Responsibilities:

  • Website Maintenance: Update content on the Joomla site, including adding new events, updating film listings, posting articles or announcements. Ensure the site is up-to-date with the latest festival information.
  • Performance Monitoring: Regularly check the site for broken links, formatting errors, or pages not displaying correctly. With Joomla, this might involve adjusting modules or templates.

12. Software Developer (Video Player Project) (IT & Digital Team)

Overview:
Innovate how we screen films. This is a specialized volunteer role for those with programming skills. EcoFrames is exploring a Video Player project – possibly developing a custom online player or platform to host films (for example, a secure site for virtual screenings or an app to show our curated content). As a Software Developer volunteer, you would contribute to this project by writing code and solving technical challenges. It’s a fantastic opportunity for a computer science student or professional who wants to build something meaningful in the arts/sustainability space. You’ll be pushing EcoFrames into the digital future, making our content more accessible to wider audiences.

Key Responsibilities:

  • Video Player Development: Build or enhance a custom video player or streaming platform. This could involve front-end coding (user interface for selecting and watching films) and/or back-end coding (handling video storage, streaming securely, user login systems, etc.).
  • Software Design: Help choose the right technologies (e.g., HTML5 player, integration with Vimeo/YouTube, or creating a standalone app). Prototype different solutions if the project is in early phases.
  • Coding and Testing: Write clean, efficient code. Test the player on various devices and browsers to ensure compatibility. Debug and resolve playback or compatibility issues as needed.
  • User Experience Improvements: Add features to enhance user interaction – e.g., subtitles toggle (important for Accessibility), playlist functionality, play/pause controls, or even creative features like an “environmental impact” meter (if desired).

  • Sponsorship Outreach: Identify potential sponsors, prepare sponsorship proposals, and reach out to businesses or organizations that align with EcoFrames’ mission.
